Frequently asked questions

How Hearofy actually works: recording, local and cloud AI, categories, calendar, plans and privacy.

General

What is Hearofy?

Hearofy is a smart voice assistant for Android: tap a button, speak, and the app transcribes and turns your voice memo into an organized note — with a title, category, and the relevant information already highlighted. It's developed by Cristiano Saggin under the EightyFourNow brand.

Which devices is it available on?

Hearofy will be available for Android, through the Google Play Store. There's currently no launch planned on other platforms.

When will it be available on Google Play?

Launch is close — we're wrapping up the final steps before publishing on Google Play. Check back on this page soon for the download link.

Recording a memo

How do I record a memo?

Just one tap: press the record button, speak naturally, and Hearofy automatically transcribes and structures what you said into an organized memo.

How long can a recording last?

With the local engine (Free plan) you can record up to 5 minutes in a row. With the Pro plan there's no fixed duration limit: recording keeps going as long as you have Cloud Credits available; if credits run out mid-recording, the app automatically switches to the local engine so the recording doesn't stop. See "Plans and subscription" below for details on Cloud Credits.

Can I start a recording without unlocking my phone?

Yes, you can start a recording right from the lock screen, without unlocking your phone — handy when you want to capture a thought on the fly.

Can I write a note instead of recording one?

Yes, alongside voice recording you can also enter a text note manually.

Can I see the original transcript, not just the processed memo?

Yes, the original transcript always stays available alongside the AI-processed memo, so you can check exactly what you said at any time.

Can I change how a memo is written after it's created?

Yes, you can adjust the memo's density (compact, balanced, or extended) and format (bulleted list or flowing paragraph) at any time, even after it's already been generated.

Can memos be reprocessed?

Yes. From any memo you can regenerate the AI summary directly from its already-saved transcript, without needing to record again — handy if the first result doesn't quite land. You can choose to reprocess it with the local engine or the cloud one; choosing cloud uses a small amount of Cloud Credit (about 1/3), and if processing fails the memo stays unchanged.

How do I reprocess a memo that was already recorded with the local model?

Open the memo and tap the reprocess icon: the engine used for the original recording doesn't lock in later reprocessing, so you can choose the cloud even for a memo created with the local engine, as long as you have Cloud Credits available. The one exception is "Local" mode in the AI settings (see the maximum-privacy question below) — when it's on, the cloud option stays disabled everywhere in the app.

If processing fails, do I still spend credits?

No. If a cloud processing attempt fails, the credit that was used is automatically refunded — both for a memo's initial transcription/synthesis and for a later reprocessing attempt. If the initial synthesis fails, the memo still stays available in a simplified version based on the transcript, which is always kept intact.

AI and privacy

Are my memos processed on my phone or in the cloud?

It depends on the mode you pick in Settings → AI Engine. By default processing happens in the cloud (Google Cloud Vertex AI, Gemini): audio is deleted from the servers as soon as processing ends and the content is not used to train models. In the local modes the work happens on your phone with the downloaded models; in the one without backup nothing is sent to any server, not even as a fallback. Local mode is included in the Free plan too, with recordings up to 5 minutes; how fast it runs depends on your phone, and on devices with little RAM the app uses the compact model.

When is the cloud used?

Only if you explicitly choose to — for longer or more complex memos you can turn on cloud processing, powered by Gemini Flash.

What happens to the data I send to the cloud?

It's transmitted securely (encrypted in transit), never used to train AI models, and the audio is deleted from our servers as soon as processing is complete. Only the resulting transcript/memo is kept, not the original audio. See the Privacy Policy for full details.

Does Hearofy collect my voiceprint or other biometric data?

No. Hearofy doesn't extract, generate, or store voiceprints or any other biometric data for identification purposes. Its AI models are used only to transcribe and structure text, never to recognize who's speaking.

Does the app listen in the background?

No. The microphone only activates when you explicitly tap the record button. Hearofy never records or listens in the background.

How do I configure Hearofy for maximum privacy?

Go to Settings → AI Engine and choose the local mode without cloud backup: everything is processed on your device, and nothing is ever sent to the cloud, not even as a fallback if something fails. You can also set calendar sync to "Off" (or local-only) in Settings → Calendar, to avoid any connection to Google Calendar. Memo backup stays a manual export you trigger yourself, not an automatic cloud sync.

Categories and organization

How are memos organized?

Every memo is categorized automatically. Built-in categories include Health, Meetings, Auto, Family & Kids, Pets, Finance, Home Maintenance, Legal, Sport, and Brain Dump — each with fields tailored to that context (for example, medication and dosage for Health, or shop and cost for Auto).

Can I create custom categories?

Yes, with the Pro plan you can create your own custom categories, with whatever fields you like.

Can I search through my memos?

Yes, you can search by text or date, and filter by category. You can also pin your most important memos and recover deleted ones from the trash.

Calendar and "Memo in the Loop"

Does Hearofy recognize dates and times I say out loud?

Yes, whenever you mention a date or time while speaking, Hearofy flags it and offers to add it to your calendar — your choice, either your phone's native calendar or Google Calendar.

What is "Memo in the Loop"?

It's how Hearofy keeps the thread open around an appointment. By tagging a calendar event with #Hearofy, the app pings you right as the appointment starts and invites you to pick the recording back up — so the outcome, the decisions, and the follow-ups get captured too. Every appointment becomes a connected thread of memos, before and after, instead of a lonely line in your calendar.

Plans and subscription

What's the difference between Free and Pro?

The Free plan includes the free local transcription engine, recordings up to 5 minutes, and extra Cloud Credits you can earn by watching rewarded ads. The Pro plan adds 250 Cloud Credits a month, no fixed recording duration limit, custom categories, automatic translations, and zero ads.

How much does Hearofy Pro cost?

€5.99/month in Europe, $6.99/month in the United States — the exact price for your country is shown by Google Play at checkout.

What are Cloud Credits?

They're the unit cloud processing is measured in: 1 credit = 1 minute. The Pro plan includes 250 a month; on the Free plan you can earn extra ones by watching rewarded ads. They're strictly personal, non-transferable, not convertible to cash, and reset every monthly cycle.

How do renewal, cancellation, and refunds work?

The subscription is managed entirely through Google Play Store Billing. It renews automatically at the end of each period unless cancelled at least 24 hours in advance; you can cancel anytime from Play Store → Subscriptions, effective at the end of the current billing period. Refunds follow Google Play Store's policies. See the Terms of Service for full details.

Recording other people

Can I record a conversation with another person?

You can, but getting the necessary consent is always your responsibility. Many jurisdictions require the consent of every participant before a conversation can be lawfully recorded, and Hearofy has no way to verify whether you've obtained it — you're solely responsible for complying with the laws that apply to you. See Section 3 of the Terms of Service for details.

AI reliability

Can Hearofy's AI make mistakes?

Yes. Like any AI model, it can make errors or inaccuracies in transcription or in interpreting dates and times. Always double-check important information before confirming it or adding it to your calendar.

Can I use Hearofy for emergencies or medical/legal matters?

No. Hearofy is not a medical device, doesn't provide medical, legal, or financial advice, and must not be used for emergency calls or as an evidentiary record. See Section 8 of the Terms of Service for details.

Account and data

How do I delete my account and data?

You can do it directly from the app, at Settings → Delete Account, or from the website without reinstalling the app, via the Delete Account page. Either way, the request is processed within 30 days.

Are there ads in the app?

Only on the Free plan, where you can watch rewarded ads through Google AdMob to earn extra Cloud Credits. For users in the EU/UK, ad consent is managed through a certified platform (CMP). Upgrading to Pro removes all advertising.
